CRNA Pilot LLC ("CRNA Pilot," "we," "us," or "our") provides a subscription-based document management and administrative support platform designed to assist Certified Registered Nurse Anesthetists (CRNAs) with organizing continuing education (CE) documentation, credentialing records, and related professional compliance materials. CRNA Pilot is not affiliated with, endorsed by, or operating on behalf of the NBCRNA, the AANA, or any state licensing board.
Depending on your subscription plan, CRNA Pilot may provide any combination of the following:
Where authorized by you as part of your subscription, CRNA Pilot may submit your renewal application documentation, CE records, and supporting materials to the NBCRNA on your behalf. By accepting these Terms, you grant CRNA Pilot a limited authority to act as your agent solely for the purpose of submitting materials you have reviewed and approved. You remain solely responsible for the accuracy, completeness, and timeliness of all submitted materials. CRNA Pilot will not submit any materials to the NBCRNA or any other body without your explicit prior authorization. Submissions to state licensing boards or other regulatory bodies are not included unless expressly agreed to in writing.
Nothing in the CRNA Pilot platform, communications, or documentation constitutes legal, regulatory, medical, or certification advice. CRNA Pilot provides organizational and administrative support only. You are solely responsible for verifying the accuracy and completeness of all submitted documentation and for meeting all certification and licensing requirements applicable to your practice.
You must be at least 18 years of age and a licensed or certified healthcare professional (or applicant thereof) to create a CRNA Pilot account. You agree to provide accurate, current, and complete information during registration and to keep your account credentials confidential. You are responsible for all activity that occurs under your account.
By submitting documents to CRNA Pilot, you represent and warrant that:
Documents you submit are stored on secure, access-controlled servers. CRNA Pilot employs administrative, technical, and physical safeguards consistent with industry best practices for the protection of professional credential and administrative records. Storage infrastructure is maintained in compliance with applicable data security standards. While we take reasonable precautions, no electronic storage system is 100% secure, and CRNA Pilot cannot guarantee absolute security.
CRNA Pilot is an administrative services platform for professional credentialing purposes. The documents processed by CRNA Pilot (CE certificates, transcripts, licenses, certifications, immunization records, and occupational health records) are professional credentialing records pertaining to you as a healthcare provider. These documents necessarily include your personal professional identifiers, which are required for credentialing purposes.
CRNA Pilot does not process, store, or transmit patient health information (PHI) as defined by HIPAA. The documents submitted through CRNA Pilot relate solely to your own professional credentials and certifications — not to any patient you have treated. You agree not to submit any documents containing patient-identifiable information through the CRNA Pilot platform. CRNA Pilot is not a Covered Entity or Business Associate under HIPAA with respect to your personal professional credentialing records.
CRNA Pilot stores all uploaded documents in access-controlled, encrypted storage environments. Access to your documents is restricted to you and authorized CRNA Pilot personnel solely for the purpose of delivering services described herein.
CRNA Pilot does not sell, rent, or trade your personal information or documents to any third party. Documents or credential information are shared with third parties only in the following circumstances:
By using the Send Credentialing Packet feature or any document transmission feature, you acknowledge and agree that CRNA Pilot transmits those documents as your agent at your instruction, and you release CRNA Pilot from any liability arising from the transmission, receipt, or use of those documents by the named recipient.
CRNA Pilot offers subscription plans billed annually or per MAC cycle. Subscriptions automatically renew unless cancelled prior to the renewal date. CRNA Pilot will send a renewal reminder email to your registered email address at least 30 days before your subscription renewal date. All fees are non-refundable except as required by applicable law or as expressly stated in a promotional offer. You may cancel your subscription at any time through your account settings or by contacting crnapilotce@gmail.com. Cancellation takes effect at the end of the current billing period.
All platform software, design, content, and materials created by CRNA Pilot are the exclusive property of CRNA Pilot LLC. You retain ownership of all documents and records you submit. By submitting documents, you grant CRNA Pilot a limited, non-exclusive license to store, process, and transmit those documents solely as necessary to provide the services you have subscribed to.
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, CRNA PILOT SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF CERTIFICATION, LOSS OF EMPLOYMENT, LAPSE OF LICENSE, OR ANY REGULATORY PENALTY, ARISING OUT OF OR RELATED TO YOUR USE OF THE PLATFORM, EVEN IF CRNA PILOT HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
CRNA Pilot's total liability for any claim arising under these Terms shall not exceed the total subscription fees paid by you in the twelve (12) months preceding the claim. You acknowledge that CRNA Pilot is an administrative support service and that all regulatory, certification, and licensing obligations remain solely your responsibility.
You agree to indemnify, defend, and hold harmless CRNA Pilot LLC and its officers, members, employees, and agents (the “Indemnified Parties”) from and against any and all claims, liabilities, damages, losses, and expenses, including reasonable attorneys’ fees and costs, arising out of or in connection with: (a) your use of the platform; (b) any documents you submit or transmit through CRNA Pilot; (c) your violation of these Terms; or (d) your violation of any applicable law or the rights of any third party.
CRNA Pilot will provide you with prompt written notice of any claim subject to indemnification, provided that any failure or delay in providing such notice will not relieve you of your obligations except to the extent you are materially prejudiced by the delay. CRNA Pilot reserves the right, at its own expense, to assume the exclusive defense and control of any matter otherwise subject to indemnification by you, in which event you agree to cooperate with CRNA Pilot’s defense of that claim. You may not settle any claim affecting the Indemnified Parties or requiring any admission, payment, or action by an Indemnified Party without CRNA Pilot’s prior written consent. This indemnification obligation survives termination of these Terms and the closure of your account.
THE CRNA PILOT PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. CRNA PILOT DOES NOT WARRANT THAT THE PLATFORM WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT ANY ERRORS WILL BE CORRECTED.
CRNA Pilot reserves the right to modify these Terms at any time. We will provide notice of material changes by updating the "Last Updated" date above and, where appropriate, by sending a notification to your registered email address. Continued use of the platform after changes take effect constitutes your acceptance of the revised Terms.
These Terms are governed by the laws of the State of Georgia, without regard to its conflict of law provisions.
Any dispute, claim, or controversy arising out of or relating to these Terms or CRNA Pilot services shall be resolved by binding arbitration in accordance with the JAMS International Arbitration Rules, conducted in the State of Georgia. Judgment upon the award rendered by the arbitration may be entered by any court having jurisdiction.
The arbitrator, and not any federal, state, or local court, shall have exclusive authority to resolve any dispute relating to the interpretation, applicability, enforceability, or formation of this arbitration agreement, including any claim that all or any part of this arbitration agreement is void or voidable. The arbitrator shall also decide the arbitrability of any particular claim.
Nothing in this section shall prevent either party from seeking injunctive or other equitable relief in a court of competent jurisdiction in an emergency context.
YOU FURTHER AGREE THAT YOU WAIVE ANY RIGHT TO A JURY TRIAL. YOU ALSO AGREE TO WAIVE YOUR ABILITY TO PARTICIPATE IN A CLASS ACTION LAWSUIT OR CLASS-WIDE ARBITRATION. YOU FURTHER AGREE THAT YOU HAVE HAD THE OPPORTUNITY TO CONSULT WITH INDEPENDENT LEGAL COUNSEL PRIOR TO AGREEING TO THESE TERMS.
These Terms and the Privacy Policy constitute the entire agreement between you and CRNA Pilot LLC with respect to your use of the platform, and supersede all prior or contemporaneous agreements, representations, warranties, and understandings.
In the event of a data breach affecting your personal information, CRNA Pilot will provide the notifications required by applicable law in a timely manner.
If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions will continue in full force and effect. The invalid or unenforceable provision will be deemed modified to the minimum extent necessary to make it valid and enforceable.
